How Export Documents with a Hyperlinked Excel

It is possible to run an export with a hyperlinked Excel.  This is not the same as a production but rather a way to view documents outside the database.   

To build the Export 

Select the documents you wish to export 

Tools à Export 

Name your export 

File Type 

Select file type you would like to export.  You can choose any combination of the 3.  But it is to be noted that if a document has an image and a native, BOTH versions will be exported.  Endorsable Image files are PDFs (whether native, or converted in Nuix). 

It should also be noted that documents must be imaged BEFORE exporting, and certain file types won’t have images (Excel, Audio, Video, Password protected etc).  Those must be exported as natives.   

Image Conversion 

Choose if you would like to convert any images to searchable, non-searchable PDFs or no conversion at all.   We recommend converting to searchable PDFs if you are exporting images. 

Headers and Footers 

Select any headers or footers that you want to endorse on your document.  You can choose to add free text or information from a field.   

Apply annotations 

If your documents have annotations (Highlights) you can select the annotations you would like to produce on the documents 

Include Load file 

Your case should include the option to produce a Hyperlinked Excel as a exported load file.  If it does not please contact support@noticiasolutions.com and a load file will be created for you.

Downloading the Export 

Once your export has been set, select the manage documents page 

From the manage documents page, select the Exports tab.  You will see your export there.  If there is a green play button the export is still building, a yellow warning sign or green checkmark indicates your export has been built.  You will need to refresh the page to see a change in your export status 

Warning 

Warnings will be noted if there are documents that don’t meet one of the criteria that you selected.  This is to be expected.  Just confirm that the warnings that you are getting match the expectations that you have for your material formats. 

Download 

Once your export has built and any warnings confirmed select your export and download 

You can password protect the download if you choose.  Do not select Aspera unless you have contacted support and had the program setup on your machine. 

A dialogue box will pop up.  Do not close it until your download has completed.  Your export will download to your system default download folder. 

Unzip your folder and your export is complete.  You will need to save the csv as an Excel to have the hyperlinks work. 

Additional Notes 

There will be a link populated in both the image and native link fields, regardless of if a document was exported in that format.  This can be avoided by running a image only export and then a native only export and deleting the opposites field in the corresponding CSV. 

The Excel can be formatted into a table, and the hyperlinks styled so that they are underlined.  This is noticia’s standard practice – please let us know if you need assistance in formatting your table. 

For the hyperlinks to work, the export package must stay together.  If you move the documents or Excel out of the package the links will be severed.  However, you can move the whole package anywhere you like.
