Article: How to Build an ATI/FOI Image Production

Only Administrators can run Productions

Prepare Documents Before Creating the Production

From the Documents page:

  • Isolate the material you want to produce

  • Select all documents

  • Tag to a Binder with the production name and date

  • If you haven't already imaged documents to be produced: 

    • Tools → Image Documents

    • Change document type to PDF

    • Do not select optional inclusions

  • Tag all documents to be produced as a Native to

    • Issue: Production --> Native - No Text

Result:  All documents are now fully prepared and ready to be added into the production.


Create the Production

Permissions

  • Only Administrators can run productions

  • Confirm your group has read/write access to Production Issues (Case Setup → Issues)

Levels

  • Manage Documents → Levels

  • Add level Produced Material 

Create Production

  • Manage Documents → Production page

  • Select Add

  • Name your production (ex: Production 01)

  • Add description if available

Setup

1: Attributes

    Numbering

  •  Standard
  • Prefix: client alpha prefix + underscore

  • Start number: 1

  • Padding: 8

    Number By

  • Document

  • Page padding: 3

  • Delimiter: Period

  • Review preview for accuracy

    Levels

  • Create new levels

  • Rendition level: Produced Material

  • Items per folder: 1,000

  • Break on: Documents

    Sort Order

  • Keep sources and attachments together

  • Common fields:

    • Date

    • Document ID

2. Production Rules

Rule

Content Files (txt

Exception Population**

Endorsable Image Only

No text

Default

Native Only

No text

Issue: Production --> Native no text

Note:  Exception population documents are routed by tagging documents to the respective Production Issue.

Confirm:  Total document count matches the production set.

    Additional Settings

  • Leave all defaults

  • If you want text files for redacted documents → Uncheck “Omit base text”

    • Redacted text will still be removed automatically

3. Redactions

  • Proof redactions: Unchecked

  • Font size: 18 (can lower to 12; do not go below 12)

  • Automatically OCR image files for redacted documents: Checked

  • Select Applied for all highlights/redactions

  • Colour: White with border (recommended)

  • Only white redactions need borders

  • Label: Highlight/Redaction Label

4. Endorsements

  • Endorse: Document ID + Page Number

  • Use: Produced Page Label

  • Additional coding fields available under Fields tab

  • Endorse: The page location within the full document 

  • Use: Page Serial Number

Header/Footer Width

  • Leave defaults

  • Adjust size/column width only if endorsement text is long

5. PDF Settings

  • Do not adjust

  • OCR is done at export

6. Security

  • Your group automatically has access

  • To allow other groups to view production IDs/renditions → give read access


Add Documents to the Production

From the Documents page:

  • Select your production

  • Change your conditional coding template to Productions - Unlocked

  • Mass code the documents to the production

  • Return back to the production (Manage Documents Page --> Productions)


Quality Control (QC)

From the Quality Control tab:

  • Select all options

  • Click Run

Review QC flags:

Missing endorsable image

  • Open hyperlink

  • Send compatible documents to image

  • Tag non‑imageable documents to Native Issue

Missing required page information

  • Review documents

  • Tag to exception issue OR remove from production

Overlapping exception rule population

  • Review documents

  • Each document can only belong to one exception population

  • Adjust issue tags as needed

Repeat QC

  • Rerun QC until no new flags appear


Lock and Print

Lock Production

  • Select Lock (upper right)

  • Select Auto Print

Review Print Job

  • Inside production → History

  • Refresh to see updates

  • Look for Not Printed

If documents show “Not Printed”:

  • Select hyperlink

  • Review documents

  • Try printing again

If issues persist:

  • Unlock production

  • Tag documents to exception rule OR remove from production

  • Tag documents to a binder first

    • Once unlocked, print issue flags disappear
